👥 How-To to Manage Your Attendees and Revenue

Learn how to effectively use the Guest List to monitor attendees, track bookings, and analyze event revenue on BookMeIn.Events.

What is the Guest List?

The Guest List is your comprehensive attendee management dashboard where you can view all bookings, track payments, monitor attendance, and analyze revenue for your events.

Step 1: Navigate to Guest List Management

  1. From the sidebar, go to Attendees
  2. Click on Guest Management
  3. You'll see a dropdown to select your event

Step 2: Select an Event

  1. Click on the event selection field at the top of the page
  2. Choose from your list of events
  3. The system will display all attendees for the selected event

Step 3: View Key Revenue Metrics

Once an event is selected, you'll see three key metrics at the top:

Total Attendees

  • Shows the total number of guests registered
  • Displays "Total No. of Guests"

Total Revenue

  • Displays total gross sales from ticket purchases
  • Shows the revenue amount in your currency

Total Bookings

  • Shows the total number of reservations made
  • Displays "Total No. of Reservations"

Financial Breakdown

  • Estimated Payout: The amount you'll receive after fees
  • Est. Commissions and Fees: Platform and processing fees

Step 4: Manage Your Guest List

The Guest List table displays comprehensive booking information:

Booking Information

  • Booking No.: Unique booking reference number (e.g., BMIS-72177-6F05)
  • Attendee: Guest name and email address
  • Attendance: Check-in status indicator (---)
  • Bookings: Ticket quantity and total amount (e.g., 1 x | 595 €)
  • Payment: Payment status (Pending, Confirmed)
  • Booked At: Date and time of booking

Individual Booking Details

Click the expand arrow on any booking to view:

  • Phone number
  • Ticket name (e.g., "DAY 1 Pass")
  • Booked quantity
  • Ticket booked timestamp
  • Final paid price
  • Discount applied
  • Payment confirmation timestamp

Step 5: Search and Filter

Use the search bar to quickly find specific attendees:

  • Search by booking number
  • Search by name
  • Search by email address

Step 6: Export Guest List Data

Click the Download button in the top right to export your guest list for:

  • External reporting
  • Email marketing
  • Attendance tracking
  • Financial reconciliation

Understanding Payment Flow

All ticket sales follow this payment process:

  • Fees are deducted before the total amount is transferred to your bank account
  • Revenues are directly deposited into your bank account within 7-30 days
  • Payment timing is based on your subscription plan (rolling basis)

  • Regularly check payment status to track pending payments
  • Use the search function to quickly locate specific attendees
  • Export guest lists before events for check-in purposes
  • Monitor revenue metrics to track event performance
