🏢 How-To Create Sponsors and Add Them to Your Event

Learn how to create sponsor profiles and add them to your events on BookMeIn.Events. This guide covers setting up sponsor information, managing sponsor details, and linking them to specific events.

What are Sponsors?

Sponsors in BookMeIn.Events are company or brand profiles that support your events. You can create reusable sponsor profiles and display them on multiple event pages to acknowledge their support.

Creating a New Sponsor Profile

Step 1: Navigate to Sponsor Management

  1. From the sidebar, go to Events (expand the menu if collapsed)
  2. Click on Sponsor Management
  3. You'll see the My Sponsors List page
  4. Click + New Sponsor in the top right corner

Step 2: Set Up the Sponsor Profile

Fill in the required sponsor information:

Basic Information (Required Fields)

**Sponsor Name*** (Required)

  • Enter the official company name
  • Example: "ACME Corp.", "TechVentures Inc."
  • This is the formal business name

**Sponsor Label or Brand*** (Required)

  • Enter the brand name or marketing name
  • This is what will be displayed prominently on the event page
  • May differ from the official company name

**Sponsor Link or Website*** (Required)

  • Enter the sponsor's website URL
  • This becomes clickable on the event page
  • Attendees can visit the sponsor's website directly

**Summary*** (Required)

  • Write a detailed description of the sponsor
  • Include what the company does, their mission, or why they're sponsoring
  • This appears on the event page to introduce the sponsor
  • Provide background information and context

Step 3: Provide Additional Details

Available for

Select which types of events this sponsor supports:

  • ☑️ Virtual events - Sponsors online/virtual events
  • ☑️ In-person events - Sponsors physical venue events
  • ☑️ Hybrid events - Sponsors hybrid (both virtual and in-person) events

You can select one, multiple, or all options based on the sponsor's preferences.

Categories

  • Select categories that describe the sponsor's industry or type
  • Examples: Technology, Finance, Healthcare, Media, etc.
  • Helps with organizing and filtering sponsors
  • Click the Select... dropdown to choose categories

Step 4: Create the Sponsor Profile

Once all required fields are filled:

  • Click 🏢 Create sponsor button at the bottom right
  • The profile is now saved and added to your Sponsors List

Adding Sponsors to Your Event

Method 1: Via Event Resources Tab

  1. Navigate to Events > Event Management
  2. Select the event you want to add sponsors to
  3. Go to the Resources tab at the top
  4. Under Event Sponsors section:
    • Click the Select... dropdown
    • Search for and select sponsors from your Sponsors List
  5. Selected sponsors appear under Selected Sponsor (X) section
  6. Click Update Event to save changes

Method 2: During Event Creation

You may be able to assign sponsors when creating a new event, if the form includes the sponsors field.

Managing Sponsors

Viewing Your Sponsors List

  • Go to Events > Sponsor Management
  • See all created sponsor profiles with:
    • Name
    • Profile Image (if added)
    • Categories
    • Created date
    • Actions (edit/delete)

Editing an Existing Sponsor

  1. From the My Sponsors List, find the sponsor
  2. Click the edit action button
  3. Modify any details (name, brand, website, summary, availability, categories)
  4. Save changes

Removing Sponsors from Events

  1. Go to the event's Resources tab
  2. Find the sponsor in Selected Sponsor section
  3. Click the remove/delete icon
  4. Update the event to save changes

When sponsors are added to an event, they typically appear:

  • On the event detail page
  • In a dedicated "Sponsors" or "Supported by" section
  • With their logo (if uploaded), name, and clickable website link
  • Attendees can learn more about sponsors and visit their websites

Tips for Great Sponsor Profiles

💡 Add Sponsor Logos: While not required during initial creation, adding sponsor logos makes your event page more professional and visually appealing

💡 Clear Summaries: Write concise but informative summaries that explain what the sponsor does and their value

💡 Correct Website URLs: Double-check that website links work correctly - this drives traffic to sponsors

💡 Update Availability: Keep availability settings accurate so sponsors only appear on appropriate event types

💡 Use Categories Effectively: Proper categorization helps organize multiple sponsors and makes it easier to find the right sponsor for each event

💡 Reuse Profiles: Once created, sponsor profiles can be added to multiple events without re-entering information

Remember that the Resources tab contains TWO types of event resources:

  • Event Lineups: Artists, performers, speakers (covered in a separate article)
  • Event Sponsors: Companies and brands supporting the event

Both work similarly but serve different purposes on your event page.


Note: Sponsor visibility and display options may vary based on your event template and theme settings.
