🎫 How-To Configure Free or Paid Tickets

Learn how to set up free and paid tickets for your events on BookMeIn.Events. This guide covers creating ticket types, configuring prices, managing service fees, setting quantities, and applying discounts.

Creating a New Ticket

  1. Navigate to Events > Event Management from the sidebar
  2. Select the event you want to configure tickets for (or create a new event)
  3. Go to the Ticketing tab
  4. Click + New Ticket to create a new ticket type
  5. Enter a Name for your ticket (e.g., "General Admission", "VIP Pass", "Early Bird")
  6. Add a Description to explain what the ticket includes

Free Tickets vs. Paid Tickets

Free Tickets (€0 or RSVP)

  • Free tickets are always free-of-charge and can be used as:
  • RSVP invitations for guest registration
  • Early Access Sales registration to gauge interest
  • No service fees apply to free tickets
  • Perfect for invite-only events or pre-registration
  • Set any price above €0 to create a paid ticket
  • Enter the ticket price in the Ticket Price field
  • The platform will automatically calculate service fees based on your plan

Configuring Ticket Pricing & Fees

When you set a ticket price, you have three options for handling service fees:

  1. 🛡️ Absorb Fees (Default)
  • You cover the service fees
  • Customer pays exactly the ticket price you set
  • Example: €595 ticket = €595 for customer, you receive ~€570
  1. 📤 Pass-On Fees
  • Customer pays the ticket price PLUS service fees
  • You receive the full ticket price
  • Example: €595 ticket = ~€620 for customer, you receive €595
  1. ⚖️ Split Fees
  • Service fees are split between you and the customer
  • Balanced approach

Fee Calculation

  • Service fees are calculated based on your subscription plan
  • Example: With a plan fee of 3.99% + €0.89, a €595 ticket has approximately €25 in service fees
  • All fees are deducted before funds are transferred to your bank account
  • Revenues are deposited within 7-30 days (based on your subscription plan)

Setting Ticket Quantities

  • Enter the Total Quantity of tickets available for sale
  • The system will track remaining inventory automatically
  • You can set different quantities for different ticket types
  • Maximum capacity depends on your event settings

On-Sale Dates

  • Set the On-sale dates to control when tickets are available
  • Choose a date range (from/to) for ticket sales
  • Useful for early bird tickets, tiered pricing, or limited-time offers
  • Example: "2024-09-01 to 2024-11-29"

Expand this section to configure:

  • Ticket visibility and availability rules
  • Custom fields for ticket buyers
  • Confirmation messages

Coupons & Discounts

  • Create discount codes for specific ticket types
  • Select which tickets are eligible for discounts
  • Set percentage or fixed amount discounts
  • Click + New Discount to create promotional codes

Multiple Ticket Types

You can create multiple ticket types for the same event:

  • Day passes (e.g., "Day 1 Pass", "Day 2 Pass")
  • Virtual tickets for online attendance
  • Combo tickets (e.g., "Day 1 & 2 - Virtual Ticket")
  • Tiered pricing (Early Bird, Regular, VIP)

Each ticket type can have:

  • Different prices
  • Different quantities
  • Different on-sale dates
  • Different fee handling options

Managing Tickets

After creating tickets:

  • All ticket types appear at the top of the Ticketing tab
  • Click on any ticket badge to view/edit that ticket's settings
  • Use Update Event to save all changes
  • Use Update & Preview to see how tickets appear to customers

💡 Pro Tip: Create early bird tickets with lower prices and limited quantities to encourage early registrations!
